TICKET TERMS & CONDITIONS 2027
These terms apply to every ticket for the Overland Discovery Expo (ODX), 10–12 September 2027, at the Glanusk Estate, Crickhowell, in the Brecon Beacons National Park. By buying or using a ticket you agree to them, so please read them before you book.
1. About these terms
1. ODX is run by Overland Discovery Expo Ltd, a company registered in England and Wales (company number 16735814), registered office 22 The Haven, Leeds, LS15 7AT. “We”, “us” and “ODX” mean Overland Discovery Expo Ltd.
2. “You” means the person buying the ticket and anyone attending on a ticket they bought. If you book for a group, you’re responsible for making sure everyone in it knows and follows these terms.
3. “The event” means ODX 2027, including the campsite, exhibition, talks, workshops, The Trail and all activities. “The site” means the event area on the Glanusk Estate.
4. Your contract is with Overland Discovery Expo Ltd. Tickets are sold through our ticketing partner, Ticket Tailor, and payments are processed by Stripe. Their own terms apply to their services.
5. On site you must also follow signage, safety briefings and instructions from ODX staff, stewards, marshals and the Glanusk Estate. These form part of these terms.
6. Nothing in these terms affects your statutory rights as a consumer.
2. Buying tickets
7. You must be 18 or over to buy tickets.
8. Weekend tickets must be bought in advance. Day tickets may also be sold on the gate, subject to availability.
9. Tickets are sold subject to availability. We may limit the number of tickets per order, and any limit will be shown when you book.
10. Your booking is confirmed when payment is taken and your e-ticket is emailed to you. Please check it straight away and tell us about any mistakes.
11. Prices are as shown when you book and include VAT where applicable. Any booking fee is shown before you pay. Later ticket releases may cost more.
12. If a ticket is listed at an obviously wrong price, we may cancel the order and refund you in full.
13. We may cancel any order we reasonably believe is fraudulent, made by a tout, or made in breach of these terms.
3. Ticket types
14. Everyone attending needs their own valid ticket, including children aged 5 and under (free, but they still need a ticket) and dogs (free, but they still need a ticket).
15. Weekend tickets include entry to the event from Friday 10 to Sunday 12 September 2027 and camping from 3pm on Thursday 9 September to 2pm on Monday 13 September 2027, whatever you camp in: tent, car, van, motorcycle or truck. Talks are included. Workshops and The Trail need an Activity Pass, subject to capacity (see section 11).
16. Day tickets include entry and day parking on the date shown on the ticket only. No overnight stays are allowed on a day ticket, and day visitors must leave the site by 6pm on that day.
17. Child tickets are for children aged 6 to 15 on Friday 10 September 2027. Children aged 5 and under go free but still need a ticket. Anyone aged 16 or over needs an adult ticket.
18. Founders Circle tickets are a limited first release at a discounted price, available only to people signed up to the ODX mailing list. Early Bird tickets are a limited second release. Standard tickets are then sold at full price. Each release closes when it sells out or on a date we choose, and will not be released again.
19. Discount codes, from us or our partners, can’t be combined, have no cash value and may carry their own conditions.
4. Name changes, resale and lost tickets
20. If you can’t come, you can change the name on your ticket free of charge until 11:59pm on Friday 27 August 2027 (14 days before the event). Use the link in your booking email or contact us.
21. After that date names can’t be changed. We may ask for photo ID at check-in that matches the name on the ticket.
22. You must not resell tickets for more than you paid, or list them on secondary ticketing or auction sites. Tickets resold in breach of this are void: the holder will be refused entry and no refund will be given.
23. Tickets can’t be used as prizes, in competitions or in promotions without our written permission.
24. If you lose your e-ticket, contact us and we’ll re-send it free of charge.
25. Copied, altered or duplicated tickets are void. Each ticket can only be scanned in once.
5. Refunds
26. Tickets are non-refundable, except where section 6 says otherwise. If you can’t make it, please use the free name change in section 4.
27. The 14-day cancellation period under the Consumer Contracts Regulations 2013 does not apply to tickets for leisure events on a specific date, so you can’t cancel just because you’ve changed your mind.
28. No refund is due if you are refused entry or removed under section 13, if you choose not to attend, leave early or miss any part of the event, or because of the weather.
6. Changes to the event and cancellation
29. We may need to change the programme, exhibitors, speakers, activities, timings or site layout. We’ll keep the website up to date. These changes don’t entitle you to a refund.
30. If we move the event to a different date or a different venue, we’ll tell you as soon as we can. You can choose to keep your ticket for the new date or venue, or have a refund.
31. If we cancel the event before it starts, for any reason, you can choose either a full refund of what you paid, including any booking fee, or to roll your ticket over to ODX 2028. We’ll email the lead booker with how to choose. If we don’t hear from you within 30 days of that email, we’ll refund you. Refunds go back to the original payment method within 14 days of your choice.
32. During the event we may close individual areas or pause activities for safety, for example in high winds. This doesn’t entitle you to a refund.
33. We’re not responsible for travel, accommodation or other costs you’ve paid if the event is changed or cancelled, unless it’s caused by our negligence. We strongly recommend travel insurance.
34. Keep your contact details up to date with us, as this is how we’ll reach you about any changes.
7. Arriving and leaving
35. The campsite opens at 3pm on Thursday 9 September 2027, and Thursday arrivals must be checked in by 8pm. On Friday and Saturday, camper check-in runs from 7:30am to 8pm. On Sunday, camper check-in runs from 7:30am to 12 noon. Day visitors can arrive and park from 8:30am on Friday, Saturday and Sunday. The gates open at 9am and the event closes at 5pm each day. Everyone must be off site by 2pm on Monday 13 September 2027.
36. Show your e-ticket at check-in, on your phone or printed. Each person will be given a wristband and each vehicle a vehicle pass.
37. Wristbands must be worn at all times and can’t be removed, swapped or passed on. Vehicle passes must be clearly displayed. If your wristband is lost or damaged, go to the info point.
38. With a valid wristband you can leave and re-enter the site during opening hours.
39. For everyone’s safety, and to prevent theft, we may carry out bag and vehicle checks on entry and exit, including checking that everyone in a vehicle has a ticket. If you refuse, you may be refused entry.
8. Camping and vehicles
40. Pitches are allocated by our stewards on arrival. If you want to camp next to friends, arrive together.
41. The campsite is on natural estate ground, so expect pitches to be uneven and sloping in places. Come prepared: bring levelling blocks or ramps for your vehicle, and suitable pegs and groundsheets for tents. We can’t guarantee a level pitch.
42. There’s a 5mph speed limit across the whole site, except where marshals set a different limit on The Trail. Follow the one-way system and stewards’ directions. Pedestrians always have priority.
43. Only exhibitor, emergency and service vehicles may enter the exhibition and arena areas, at the times we set.
44. Empty chemical toilets and grey water only at the marked disposal points, never onto the ground, into hedges or into watercourses.
45. Leave no trace. Bag your rubbish and use the bins and recycling points provided, and take everything you brought home with you, including tents and furniture. If you leave items or a mess behind, we may charge you for the clean-up.
46. Quiet hours in the campsite are 11pm to 7am. Keep music and noise down during these hours.
47. Please don’t bring a generator unless you need one. If you do, it must be a quiet inverter-type generator and must not be run during quiet hours.
48. Glanusk is a working estate. Don’t damage trees, hedgerows, fences or gates, don’t dig into the ground, keep out of fenced or signed areas, and leave livestock alone.
49. The site is outdoors in the Brecon Beacons, so bring kit for all weathers. In wet conditions the ground can get soft. If we or our contractors help move a stuck vehicle, this is done at your own risk, except where we are negligent.
9. Children
50. Children under 16 must be accompanied and supervised by an adult ticket holder (18 or over) at all times, including in the campsite, during activities and on The Trail.
51. Young people aged 16 and 17 attending without an adult must carry a consent form signed by a parent or guardian, who stays responsible for them.
52. At check-in, children will be given a wristband with the supervising adult’s mobile number written on it.
53. Some activities have minimum ages or heights. These are shown in the programme, and staff have the final say.
54. If you become separated from your child, go to the info point or the nearest steward straight away.
55. Anyone who looks under 25 will be asked for photo ID to buy alcohol.
10. Dogs
56. Dogs are welcome. Every dog needs a ticket (free), so we know how many are on site.
57. Dogs must be kept on a lead and under control at all times, on the event site and in the campsite. This is a requirement of the Glanusk Estate as well as ours.
58. Clean up after your dog and use the bins provided.
59. Dogs are not allowed on The Trail, including inside vehicles on The Trail, or in workshop areas. Assistance dogs are welcome everywhere.
60. Never leave a dog in a vehicle or tent in warm weather, or alone for long periods. If we believe a dog is in distress, we may take any reasonable action to help it, including entering a vehicle.
61. Dogs should be vaccinated and treated for fleas and worms. Please don’t bring a bitch in season.
62. Keep your dog away from livestock and wildlife on the estate.
63. You are responsible for any injury or damage your dog causes. We may ask you to remove a dog that is aggressive or out of control from the site, with no refund.
11. The Trail, driving and activities
64. Talks are included in your ticket. To take part in workshops and The Trail you need an Activity Pass. Places are limited, and some sessions need booking on site on a first come, first served basis, so we can’t guarantee you a place or a particular time.
65. Some activities are run by our partners. They may have their own safety rules and may ask you to sign their own waiver. You must follow their instructions.
66. Your own vehicle can’t be driven on The Trail. All driving on The Trail is in vehicles supplied by our vehicle partner.
67. Anyone driving on The Trail must meet our vehicle partner’s insurance requirements, for example on minimum age and how long you’ve held a full licence. Bring your driving licence with you.
68. Before driving you must attend the safety briefing, sign any waiver you’re asked to, and follow instructors’ and marshals’ instructions at all times.
69. Seatbelts must be worn on The Trail. No racing, timing or competitive driving. The Trail is a pedestrian-free zone outside marked viewing areas.
70. You must not drive anywhere on site, or take part in any driving activity, if you have been drinking alcohol or taking drugs. We may refuse anyone we believe is unfit to drive.
71. Dogs are not allowed in vehicles on The Trail.
72. Minimum ages for passengers are given in the safety briefing.
73. You take part at your own risk, except where we are negligent. Our vehicle partner’s terms set out who is responsible for any damage to their vehicles.
74. Instructors’ and marshals’ decisions are final. We may close The Trail or any activity at any time for weather or safety reasons.
12. Site rules
Fires and gas
75. Fires are only allowed in the campsite, in raised fire pits or BBQs that sit off the ground. No ground fires, and no disposable BBQs on the ground. Never leave a fire unattended, and keep water or an extinguisher close by.
76. Put cold ash in the marked metal ash bins only, never on the ground or in general bins.
77. If the weather is particularly dry, fires may be banned at short notice. Stewards’ decisions on fires are final.
78. No fireworks, sky lanterns, flares or other pyrotechnics.
79. Gas cylinders must be in good condition, used as the maker intends and kept outside tents.
Alcohol and glass
80. You can bring your own alcohol to drink at your pitch in the campsite. It can’t be taken into the exhibition area, arena, talk and workshop areas or bars. Bars sell alcohol for these areas.
81. Please keep glass to a minimum, and don’t take glass out of the campsite.
Items not allowed
82. Not allowed on site: illegal drugs and psychoactive substances (including nitrous oxide); weapons, except reasonable camping and cooking tools kept at your pitch; fireworks; drones without permission (see section 14); amplified sound systems.
83. No selling, sampling, flyering or promotion without an exhibitor booking or our written permission.
84. We may confiscate anything not allowed on site. We’re not responsible for confiscated items.
Respect the site
85. No smoking or vaping inside marquees or covered areas. Dispose of cigarette ends in the bins.
86. Use the toilets and showers provided.
87. If you have access needs, please contact us before the event so we can help plan your visit.
13. Behaviour and entry
88. ODX is for everyone. Treat other visitors, exhibitors, staff and volunteers with respect. Harassment, abuse, discrimination or violence of any kind won’t be tolerated.
89. We may refuse entry to, or remove from site, anyone who:
(a) behaves in an unsafe, threatening or antisocial way
(b) is, in our reasonable view, too drunk or under the influence of drugs
(c) breaks these terms or the site rules
(d) damages property or the estate
(e) doesn’t have a valid ticket, wristband or vehicle pass, or refuses a search.
90. Anyone removed must take their vehicle and belongings with them. No refund will be given, and we may pass information to the police.
91. If you see something that worries you, tell a member of staff or go to the info point.
14. Filming, photography and drones
92. ODX will be filmed and photographed. By attending, you agree that we, our partners and accredited media may film and photograph you and use that footage to promote ODX, without payment. If you’d rather not be photographed, tell the photographer or our team.
93. We’ll ask a parent or guardian before featuring a child prominently.
94. Photos and video for your own personal use are fine. Commercial filming, paid content creation and press coverage need media accreditation or our written permission in advance.
95. Visitors may not fly drones anywhere on site. Accredited media and content creators can apply to us in advance for permission to fly; approved operators must hold the right Civil Aviation Authority registration and insurance, and fly only where and when we agree. Unauthorised drones will be grounded and may be held until you leave site.
15. Your belongings and our liability
96. You’re responsible for your own vehicle, kit, belongings and dogs, which are parked and camped at your own risk. We’re not liable for loss, theft or damage unless it is caused by our negligence or our breach of these terms.
97. The site is a rural, outdoor estate with uneven ground, water and livestock. Please take reasonable care of yourself and anyone in your group.
98. If we break these terms, our liability to you is limited to the price you paid for your ticket(s). We’re not liable for losses that weren’t foreseeable, or for business losses.
99. You’re responsible for any injury, loss or damage that you, your group, your children or your dogs cause to other people, their property or the estate.
100. Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud, or for anything else that can’t be limited by law.
101. Lost property is held at the info point during the event and for 30 days afterwards. We can post items back to you at your cost.
16. Your personal information
102. We use the details you give when booking to process your order, send your tickets and contact you about the event, including any changes or cancellation. We share them with Ticket Tailor, Stripe and other service providers only as needed to do this.
103. We’ll only send you marketing if you’ve agreed to it, and you can unsubscribe at any time. Founders Circle tickets need a mailing list sign-up, but unsubscribing afterwards won’t affect your ticket.
104. Full details are in our Privacy and Cookie Policy.
17. General
105. We may update these terms, for example for safety, legal or estate requirements. The terms in force when you book apply to your booking, and we’ll tell you about any significant change that affects it. Safety rules may change on the day.
106. If any part of these terms is found to be unenforceable, the rest still applies.
107. If we don’t enforce a term straight away, we can still enforce it later.
108. Only you and we have rights under these terms. No one else can enforce them under the Contracts (Rights of Third Parties) Act 1999.
109. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
